In the absence of the Treasurer, a draft financial report was provided and tabled by the Public Officer (Attached).

Key points

  • The Association remains in a strong financial position with $57,838.97 in the Commonwealth Bank Cheque Account and $97.22 in the recently established PayPal Account.
  • A number of 2024 Conference costs will be incurred in the next month as will additional income for conference registrations which have been quite strong.
  • The overall loss for the 2024 financial year is $2,736.50 which is a solid result given the expenses of exam production (approx. $10,000) and building a new website (approx. $16,000).
  • The 2023 one day conference in Newcastle produced a profit of approximately $11,900 after memberships were accounted for from registration fees.
  • Memberships continue to grow after very lean years during the Covid pandemic. There were 239 2024 memberships, up 129 from 2023.
  • The introduction of online payments through the new website has greatly reduced administration, however, the fees charged by PayPal are high and options need to be considered by the incoming committee.
  • The examination production is a significant expense ($10,000) to the Association but greatly valued by members – the new committee should evaluate the business model for this with consideration of sales to non-members.
  • The Admin Assistant role is a very important role for the Association, and it has become more complex. The new committee should review this role- duties and pay rate (currently $30.00 per hour).

Public Officer (Allan Booth) thanked the past committee for their work with particular mention of the successful navigation of the COVID pandemic and the path back to conference provision provided by Shannon Cameron and the Conference Committees – Newcastle and Ballina.

President – Under the constitution Pam Findlay has completed her set time on Executive and is technically not eligible to stand. No nominations have been received and as such Pam agreed to serve an additional year while a new President is found.

President’s Report

2024 allowed the PDHPE Teachers’ Association to continue to rebuild, including the development of a new logo for the first time since the association was developed. After the success of the one-day face-to-face Newcastle conference, the executive committee decided to build theconference back to the 2-day conference held in October. The theme of this year’s conference is ‘Move, Connect, Thrive’ and has been developed to allow delegates to engage in a range of engaging workshops and learn about current trends and resources across K – 10 theory and practical, and Stage 6 Health and Movement Science.

I would like to take this opportunity to thank our VP Conference Shannon Cameron and the North Coast conference committee, very ably led by John Cunynghame. This enthusiastic team should be proud of the conference they have put together. I would also to thank Xavier Catholic College Ballina for hosting the conference – we appreciate your support of the PDHPE Teachers Association.

The PDHPE Teachers Association has continued to support our members by developing and providing the Stage 6 exams for Preliminary and HSC PDHPE & CAFS and professional learning activities to support PDHPE teachers. Our website has been moved and rebuilt to support our membership. We now have a functioning website that provided members with regular blogs about PDHPE related information, access to our exams, membership and conference registration and information. The website will continue to be developed and if any members have any ideas about what the website can provide members, please let us know. I would like to thank Allan Booth for the tremendous amount of work he has done in getting the website up and running in 2024.

The association has continued to advocate for PDHPE teachers and actively providing feedback to NESA on issues impacting our KLA including the Curriculum Reform and its impact on syllabus implementation and assessment. This has included attending PTC Subject Association Forums each term. We were able to provide clear and relevant feedback around the second draft K-10 PDHPE syllabuses and the draft 7- 10 Child Studies elective syllabus. NESA has used this feedback we provided through the online forums, surveys and feedback reports as part of the review and amendment process. There will be more opportunities where the association will provide feedback to ensure effective syllabuses are developed for our students for the remaining PDHPE KLA syllabuses including the 7-10 PASS elective and Stage 6 CAFS.

As planning and preparation for implementation of the Stage 6 Health and Movement Science (HMS) syllabus has been occurring in 2024, the association has worked on providing opportunities for member to develop knowledge and skills in implementing new and amended syllabuses including the HMS strand of workshops at the conference. We will look at PL opportunities we can offer based on member needs in 2025 including familiarisation with the K – 10 PDHPE Syllabus to be implemented in classrooms by 2027. The association will continue to advocate on behalf of our members as the Curriculum Reform continues, including the introduction of the new elective Child Studies and PASS syllabuses, and the Stage 6 Community and Family Studies. We were able to have members participate in the focus group feedback process for 7 – 10 Child Studies, we have provided nominations for syllabus writers and TAGS teams for CAFS to NESA and had several PDHPETA members on the syllabus writing team for the 7-10 PASS syllabus. We will continue to advocate to ensurea quality; future focused and relevant syllabus is available for our students across Stage 4 to Stage 6 as the opportunity arises.

We have taken a pause on providing a newsletter in 2024 and have begun to provide informative blogs via the website. We will continue to trial this in 2025 and review the effectiveness of this at the end of next year. I would like to take this opportunity to thank the people who have contributed to the blogs so far this year. Any member who would like to contribute informative blogs are more than welcome to share their ideas and expertise throughout 2025.

The examination papers for the PDHPE and CAFS Preliminary and Trial HSC were in demand again this year. I again I led a great team to develop one of the exams. These papers deliver an excellent and cost-effective alternative to commercially produced papers and continue to be produced to a high quality. The four papers prepared, PDHPE (Preliminary & HSC) and CAFS (Preliminary & HSC), were available to members across the state via our website for the first time in 2024. The ease to which members were able to access the exams was commented upon , and again the exams are highly sought after. The exam teams were once again expertly coordinated by our Vice President Danielle Simpson who guaranteed we met our deadlines, and Danielle did a fantastic job. As the new Health and Movement Science syllabus is implemented in Year 11 in 2025, members will continue to have access to high quality resources including the Year 11 HMS Preliminary exam. As an association we monitor discussions held by NESA about the future of the HSC exams and we will continue to ensure that the papers the association provide reflect the expectations and structure required.

I would like to thank our Administrative Assistant Allan Booth for his work this year. The time and effort that he has put in to get the new website up and running, including creating procedures that have updated how the association administrative processes works is greatly appreciated. Allan’s professionalism and passion for the PDHPE TA has continued to drive his support of the executive and the association. He will be missed as our Administrative Assistant as he steps down from the position in December.

Thank you to the executive team for their work and support in 2024. I would like to take the opportunity to thank the team for their contribution and enthusiasm for the PDHPE TA and the work they have done for the association as part of the executive team. If there are no other nominations for the Presidents position, I would be able to continue as President for one more year. If there is a suitable nomination for the president position, I would like to wish the incoming President and continuing executive team all the best. It has been a privilege to represent the PDHPE TA over the past 9 years on the executive team, six of those years as President. I have learnt a lot and hopefully have supported PDHPE teachers across the state to develop and grow as well.

Thank you also to the members who have supported the association and shown commitment to further their knowledge of teaching and learning practice through participating in association activities throughout the year and attendance at this AGM.

2023/2024 Financial report

This report is presented by the Associations Public Officer given ongoing issues in onboarding the elected Treasurer.

The Association remains in a relatively strong financial position with $57,838.97 in the Commonwealth Bank cheque account and $97.22 in the association Paypal Account as of 30 June 2024. The Association has successfully negotiated the financial challenges presented by the COVID epidemic where face to face conferences could not be held and membership dropped.

The overall loss for the 2024 financial year was $2,736.50, a strong result given the significant investment in a new website during the year. The 2024 conference is tracking well in financial terms.

The 2023 Conference in Newcastle was an outstanding success and also provided a valuable boost to income with a net profit, after new memberships were accounted for of $11,925. Congratulations to the team who produced a wonderful face to face event following three years where face to face Conferences were neither viable or legal.

Memberships continue to grow in 2024 with income from memberships climbing to $10,550 in the 2024FY. The total membership, including life members for 2024 was 239 up from 129 in 2023.

The two major items of expenditure for the 2024 Financial Year were production of Trial HSC and Preliminary examinations for distribution to members ($10,600) and the redevelopment of the Association website ($16,2663). The website rebuild has been very successful, allowing full integration of an online payment system and centralised record management of memberships etc. Users have commented positively on the ease of payment and the administration time saved by schools and the association. There is now a strong core website in position with reliable support from the website developer for problem solving and maintenance.

Unfortunately, any additions to website capability come with a cost and the current automation of payments through Paypal does come with the burden of fees. While only a minor impact for the 2024 financial year ($181.08 on $9,199 turnover,) this has the potential to have greater impact in 2025 FY with some income incurring 15% fee.

It is recommended that alternative integrations for payment such as Square be investigated and payees be encouraged to pay by direct debit to minimise fees.

While providing our members with a tremendous deal – free access to a high quality Preliminary and Trial HSC Examination in both PDHPE and CAFS, many other providers are charging much greater amounts for similar and often inferior products. Selling to non-members through the website could be a positive way of recouping some cost.

It is recommended that the business model for examination production also be reviewed to explore greater cost recovery.

The only other costs to the association were the – Registration with APA, Incorporation fees, Compulsory Association Third Party Insurance, Website Hosting and Post Box renewal totalling $934.75.

The administration assistant is a vital role, we currently pay for from Conference income. It supports the increasing administration work from the association, greatly assisting the volunteer executive. Costs are dependent on the hours worked which are flexible. We currently pay the assistant at the hourly rate of $30.00. Whilst the total cost for 2024FY $4,017.73, this is expected to be much higher in 2025 with greater time required to manage conference bookings, financial and correspondence matters

Given the increased complexity and demands of this role, review of duties and rates of pay is recommended.
